Facilities and operations

Assets, inspection dates and maintenance in one place

In facilities and operations, inspection dates are often still kept in spreadsheets. That works as long as the person is there who knows which machine needs inspecting when, and which column it's in. nexxcite turns that knowledge into plans that create work orders automatically.

  • Recurring schedules
  • Assets with full history
  • Evidence for inspections
  • In the browser on phone and tablet

What matters

What a maintenance plan needs to do

Plans, not one-off dates That create work orders Intervals by time, mileage or operating hours. The next work order is created automatically.
History on the asset On the asset itself Every service, fault and finding is recorded on the asset and readable for whoever comes next.
Deadlines in view Reminders and escalation Staged reminders before the due date, escalation when overdue, following your rules.
On site In the browser, no app Fault reports, feedback and inspections on phone and tablet.

Today and tomorrow

From one person's knowledge to plans with automatic reminders

Today

Important dates in a spreadsheet

The spreadsheet works because one person maintains it. If that person is away, the knowledge is missing too.

  • Inspection dates in a spreadsheet that sends no reminders
  • Maintenance history in binders and heads
  • Faults reported by phone and word of mouth
  • Room booking through a shared mailbox
  • Driving licence checks without a fixed date
With nexxcite

Plans, work orders and records in one system

The deadlines for every asset, vehicle and room are recorded, and the platform sends reminders in good time.

  • Maintenance plans create work orders automatically
  • Complete history on the asset
  • Fault reports on mobile with a photo, right at the machine
  • Bookings with availability and clash checks
  • Licence checks on a schedule, with evidence

The common thread

Recurring deadlines need a solution of their own

Almost everything in this area revolves around deadlines that repeat: an inspection every twelve months, a service every 500 operating hours, a safety briefing every year, a licence check every six months.

Spreadsheets are poorly suited to this because they don't send reminders. Calendars lack the link to the asset. And a maintenance plan doesn't fit into a ticketing tool, because it isn't a ticket itself but creates tickets.

In nexxcite, the plan is stored directly on the asset. It creates work orders, sends reminders before the due date and escalates according to your rules if a deadline passes.

  • Intervals by time, mileage or operating hours
  • The next work order created automatically
  • Staged reminders before the due date
  • Escalation when overdue
  • Complete history on the object instead of in a file
  • An overview of upcoming obligations across all objects

In depth · machine fault

What happens when pump 4 leaks oil

A fault on the production floor, reported by the shift supervisor from a phone. Owners and deadlines are examples.

  1. 01

    Reported where it happens

The shift supervisor opens the fault report in the browser, picks the asset and attaches a photo. There's no need for a phone call that someone has to write down.

    • Mobile
    • Photo
    • Asset
  2. 02

The work order knows the asset

The order goes to maintenance with the manufacturer, service contract, last service and every previous fault. Whoever opens it knows straight away what they're dealing with.

  3. 03

Parts and contractor on the order

Spare parts and the manufacturer's service visit are planned on the work order. If something has to be ordered, the request goes into the purchasing process.

    • Parts
    • Contractor
    • Purchase
  4. 04

    Feedback with findings

Time, parts used and findings are reported on site. This keeps the asset's history complete for everyone who works on it later.

  5. 05

    The plan is adjusted

If faults pile up on one asset, the report shows it. You adjust the service interval yourself, in a draft and with approval.

AI in facilities and operations

Engineering sets up its own plans, with AI to help if wanted

When setting up: your forklifts need an annual inspection and a service every 500 operating hours, and overdue inspections go to the site manager. Engineering sets up this plan in the editor. If you wish, the assistant takes over the implementation from a description like this and sets up the object, service plan, work-order form, reminders and escalation as a draft. Engineering reviews and approves.

Day to day: the assistant answers questions such as “Which inspections are due at the North site in the next 30 days?” or “Which machines had more than three faults this quarter?” with the relevant list. It summarises fault histories and answers questions from operating manuals and inspection rules that you provide as knowledge.

As everywhere on the platform, it works with the permissions of the person asking and through your own access keys.

  • Service plans and workflows from a description, always as a draft
  • Ask for upcoming inspections in plain language
  • Summaries of fault histories
  • Answers from manuals and regulations
  • Within the permissions of the person asking
  • Open models in your own data centre, too

In depth · fleet

All of a vehicle's deadlines in one place

From company car to van, every vehicle comes with dates, people and costs.

  1. 01

    Assigned and scheduled

The vehicle is assigned to a person and a cost centre. Inspection, service and insurance dates are stored on the vehicle rather than in a separate calendar.

    • Person
    • Cost centre
    • Dates
  2. 02

    Licence checks on schedule

Every six months a check task is created, and the evidence is recorded on the case. If it stays open, reminders and escalation follow.

  3. 03

    Damage reported with photos

The driver reports the damage from a phone, photos included. Handling, garage and insurance continue as a workflow.

    • Photos
    • Handling
  4. 04

    Costs per vehicle

Costs for servicing, damage and appointments are collected on the vehicle. Nobody has to compile the report by hand.

Your own workspace

Facilities gets an application of its own

On nexxcite, facilities and operations is a workspace of its own: navigation built around assets, work orders, plans and bookings, a home page with due inspections and open faults, its own colour scheme and an assistant that knows only your assets and regulations.

Someone who only reports sees the report form and their own reports. Someone who books rooms sees the booking calendar. Every role sees exactly its own part, with its own navigation and home page.

External contractors can get their own access if you wish. They see their work orders and report back time and findings, and nothing beyond that.

  • Own navigation and home page per role
  • Colour scheme per role, set separately for light and dark
  • Read limits per site as a rule
  • Dedicated access for contractors
  • An assistant with its own knowledge
  • HR and purchasing data invisible

Objections

What facilities managers want to know up front

We have a spreadsheet that works. Why change?

Because it only works while one person maintains it. It doesn't remind, doesn't escalate and has no fixed link to the asset. What matters is what happens when that person isn't there.

Is this full-blown maintenance software?

nexxcite maps your maintenance the way you run it: assets, plans, work orders, parts and contractors. If you need the highly specialised functions of an industry package, we'll talk openly about whether this is the right route.

Can we take over our existing data?

Yes. Assets, vehicles and rooms can be imported from Excel and CSV, and neighbouring systems connected through interfaces and synced regularly.

Does it work on the shop floor without a network?

No. The interface runs in the browser on phones and tablets, but there is no app that works without an internet connection. Where people work without network coverage, that is a clear limit.

What does it cost when maintenance, fleet and room booking all join?

No extra licence per application. You license the platform and the number of users signed in at the same time. Any number of applications is included.

Who builds the processes?

Your team, in low code in the editor and with help from AI if you wish. We accompany the first process and train your team along the way. Our aim is for you to build the second without us.

Live demo

Start with the spreadsheet you can least do without

It is almost always a good first process: high value with a manageable scope. Bring it along, and in the demo we'll turn it into a plan with automatic reminders.
