Data model

A data model that follows your structure

Off-the-shelf software often does not fit because its data model describes a way of working that is similar to yours, but not the same. Every difference then ends up in a custom field or a spreadsheet on the side. In nexxcite, you build your own data model in the editor. If you wish, the AI produces a first draft.

  • Relationships as their own definition
  • No database rebuild needed
  • Changeable while in use
  • In the editor or with AI

The foundation

You model the way your department works

Your terms Your own record types, not ticket types An asset, a contract, a complaint: each with the fields and lifecycle it has in your organisation.
Linked data Connections the platform understands A contract knows its supplier, its cost centre and the assets it covers. Reports and permissions put that to use.
Easy to change Changes in the browser You add new fields and record types in the browser. There is no need to adjust the database by hand, and no maintenance window.

The difference

Contracts, assets and incidents with their own structure

Ticket-based

Everything is a ticket

Incident, contract or work order: everything follows the same schema and is adapted with custom fields.

  • Fields that only apply to every third type
  • Relationships as a text field with a number in it
  • Reporting across connections only via export
  • Whatever does not fit ends up in a spreadsheet
With nexxcite

Every object with its own structure

A contract has a term, a notice period and amendments, as well as relationships to supplier, cost centre and assets.

  • Fields that belong to exactly this object
  • Relationships as a definition with direction and conditions
  • Figures across connections, without exporting data
  • Each new process brings its own model without disturbing the existing ones

The basics

Record types with fields and a lifecycle

A record type describes a business object: an incident, a contract, an asset, a purchase request, a person. You define its fields and describe its lifecycle.

In ticket-based systems, everything is a ticket with different fields. In nexxcite, a contract has its own structure, with a term, a notice period, amendments and relationships to the supplier, the cost centre and the assets it covers.

You add new fields and record types in the editor. If you wish, the AI produces a draft for you to review. There is no need to adjust the database by hand, and no maintenance window to book.

  • Field types for text, number, amount, date, timestamp, yes/no and reference
  • Pick lists as their own definition, maintained centrally
  • Number ranges with their own format per record type
  • Files and images on the record
  • Indexes for large data volumes
  • Defaults and required fields defined as rules

Create once

A new field is available everywhere at once

In forms, lists, reports, flows, permission rules and for the AI assistant. You do not need to declare it in several places.

The biggest difference

Relationships are definitions in their own right

In many tools, a link is just a field holding an ID. In nexxcite, it is a definition with its own properties. That determines what reports, permissions and flows can do later on.

What a relationship can do

It describes how two record types connect, in which direction, with what cardinality and under which conditions.

  • One-to-many and many-to-many
  • Filtered: only this supplier's active contracts
  • Usable in forms as an embedded list
  • Iterable in flows

What follows from it

Because the platform knows the connections, reports, permissions and automation work across several record types.

  • Totals across related records
  • Permissions via the relationship: only contracts for your own cost centre
  • Flows that process every related line item
  • Figures without exporting data

Optional: with AI

If you wish, the AI drafts the data model

  1. 01

    You describe what you manage

"We manage supplier contracts with a term, notice period and amendments. Each contract belongs to a cost centre and covers one or more assets."

  2. 02

    The AI creates a draft

Record types, fields, pick lists and relationships are collected in a draft where you can see each change on its own. Nothing is published yet.

  3. 03

    You review and refine

In the editor or with another request: rename a field, make something required, filter a relationship.

  4. 04

    You approve

From now on, the model is available in forms, lists, reports and flows. If something is not right, you can return to the previous state.

In production

What this means day to day

  • A new field is created in minutes and immediately available in forms, lists, reports and flows.
  • A new record type does not need its own project. Each new process brings its own model without disturbing the existing ones.
  • Reports need no data export, because the platform knows the relationships and can calculate across them.
  • Model changes take effect immediately; existing data is kept.
  • The database structure is documented. Reporting tools can read from it.
  • Large data volumes are handled with indexes and paged queries, without capping the amount of data.

Where to be careful

A data model deserves some thought

Because changes are easy, it is tempting to start without a plan. A well-considered model at the start saves time later. We support you with this on your first process.

Not every data volume belongs in the platform

For bulk data from measurements, logs or sensors, a specialised system is the better choice. nexxcite can connect to it and use its results, but it is not a time-series store.

FAQ

What customers ask before modelling

Can we bring in existing data from Excel?

Yes. Excel and CSV files can be processed in flows, including line by line. Data from other systems can be brought in through the interface or by fetching it directly from those systems.

What happens to existing data when we change the model?

It is kept. Model changes take effect immediately, without rebuilding the database or a maintenance window.

How large can a data set get?

Large data sets are handled with indexes and paged queries. For bulk data from measurements or sensors, a specialised system is the better choice. nexxcite can connect to it.

Can our reporting tools access the data?

For reading, yes, as the database structure is documented. Writing goes through the interface so that rules and checks apply.

Live demo

In the demo, we model your process

It usually takes about twenty minutes to see whether the structure holds. Feel free to bring the spreadsheet you work with today.
